A web platform with an admin panel can cost €950 or €80,000. Both figures are real. The difference is not in who builds it, but in what is actually being asked for.
Most businesses arrive at a budget meeting with a great idea but without having defined what the platform actually needs to do. When the provider asks for specifics, the answer is usually "something like X, but simpler." That is not enough to quote anything meaningful.
This article explains where the money goes, which factors push the price up or down, and how to orient yourself if you are evaluating a custom web platform with an admin panel for your business.
Before talking about prices, it helps to be clear about what we are quoting. A web platform with an admin panel typically has two layers:
The public or user-facing side: what your customers, employees, or end users see and interact with. This could be a service portal, a store, a web management app, a collaborative workspace, and so on.
The admin panel: the back-office where you manage content, users, orders, data, or any business variable. It is usually invisible to end users and is where your internal team operates day to day.
Both layers require development. And both have different levels of complexity depending on what you need them to do.
There is no calculator that gives you an exact price for a platform, but there are factors that directly determine it:
Number and complexity of features: a platform with user registration, order management, a metrics dashboard, payment gateway integration, and automated notifications costs significantly more than one with just a contact form and a data table.
Number of roles and permissions: each user profile with different access levels adds layers of logic. A system with an administrator, supervisor, and operator is not three times as complex as a single-role system, but it is considerably more so.
Integrations with external systems: connecting to an ERP, CRM, logistics platform, or third-party API multiplies complexity. Each integration brings its own set of edge cases.
UX/UI design: a platform with a custom design and a polished user experience requires more hours than one built on standard components.
Specific technical requirements: if you need the platform to scale to thousands of simultaneous users, comply with strict security regulations, or maintain minimum response times, the cost increases.
Maintenance and future evolution: architecture designed to grow costs more upfront but saves a lot of money later. Technical debt has a price.
With the above in mind, these are the typical ranges in the Spanish market for custom-built web platforms with admin panels:
Basic platform (€950–€7,500): a product with one main flow, basic user management, and a simple panel for managing data. Suitable for validating an idea or digitising a straightforward process. No complex integrations or advanced business logic.
Mid-range platform (€7,500–€15,000): more complete features, multiple user roles, some integrations with external services (payments, notifications, APIs), and an admin panel with metrics or reports. The most common range for SMEs looking to replace manual processes.
Complex platform (€15,000+): robust architecture, multiple integrations, scalability or security requirements, advanced business logic, or several distinct modules. Projects that require an extended team and multiple delivery phases.
These ranges include design, development, testing, and initial deployment. They do not include ongoing maintenance, which is usually quoted separately.
It is common to receive very different quotes for the same project. Before choosing the cheapest, it helps to understand why those differences exist:
The scope is not defined the same way: two providers may have interpreted your brief differently. One may have included UX design; the other may not. One may have assumed an integration; the other left it out.
Technical quality is not equal: poorly structured code can work fine at first and become a serious problem when you need to add features or fix bugs.
The team is not the same: an agency with experience in your sector and with similar technologies quotes more accurately and makes fewer estimation errors.
Payment and support terms differ: sometimes a low price does not include training, documentation, or a post-launch correction guarantee.
Getting three quotes and going with the middle one is not a strategy. The best decision is to choose the provider who best understands your business and can demonstrate they have solved similar problems before.
Regardless of which provider you choose, these are the questions you need answered before committing to a budget:
Does the quote include UX/UI design or only development?
What happens if a requirement changes during the project?
How are version control and revisions managed?
Who owns the code when the project is complete?
What does post-launch maintenance include and what does it cost?
Are there intermediate delivery and review milestones?
A good provider answers these questions without hesitation. If you get evasive or vague responses, that is a warning sign.
