Process Automation with AI

We turn manual processes into software to save time, reduce errors and improve team efficiency.

About this service

What kind of automation and AI do we develop?

Many companies operate with processes that have been built over time: Excel spreadsheets, emails, WhatsApp, paper documents.

When the business grows, these systems start to generate problems. Errors, information duplication and time wasted on repetitive tasks.

Process digitization consists of converting those manual tasks into digital tools designed for the company's actual workflow.

We develop solutions that allow centralizing information, automating tasks and having real-time visibility on what happens in the business.

The result is usually immediate: fewer errors, more control and more efficient teams.

Solution examples

  • Intelligent chatbots for customer service
  • Workflow automation between tools
  • Digitization of manual processes (Excel → Software)
  • Integration between disconnected systems
  • Data analysis and automated reports
  • Intelligent documentation query with AI

Which processes are worth automating?

Not every process is a good candidate for automation. These are the indicators that help us identify where it makes sense to start.

  • It happens many times a week: If someone on your team does the same thing more than two or three times a week, it's probably worth automating. The time savings add up quickly.
  • It involves copying data between tools: Moving data from an email to a CRM, from a form to a spreadsheet, or from one system to another manually is a clear sign: there's a missing integration.
  • It generates errors when done manually: If the process relies on someone not making mistakes when copying, calculating, or recording data, automation eliminates that source of error.
  • It depends on someone being available: Approvals, customer replies, notification sending: if the process stops when someone is away, it can be automated.
  • It produces periodic reports: Weekly reports, sales summaries, KPI updates: if someone builds these manually every time, we can make it automatic.

Classic automation or AI? How we decide

For deterministic processes — if A happens, do B — we use classic automation: n8n workflows, scripts, or direct API integrations. It's faster to implement, easier to maintain, and cheaper to run.

We use AI when the process involves natural language, unstructured documents, context-dependent decisions, or tasks that require interpretation. A customer support chatbot, a system that classifies emails by type, or a tool that extracts data from PDF invoices are good examples.

In many projects we combine both: AI interprets the information and classic automation executes the actions. We don't use AI where it isn't needed — it adds operational cost and complexity that isn't always justified.

How much does it cost to automate a process?

It depends on the number of systems involved, whether it needs AI, and the complexity of the business logic. Here are real ranges:

  • Simple automation (workflow between 2 tools, no AI): Between €500 and €1,000. Connecting your web form to a CRM, sending automatic notifications, or generating documents from a template.
  • Medium automation (chatbot, multiple integrations, some AI): Between €2,000 and €5,000. A basic support chatbot, automatic email classification, or digitalising a multi-step process.
  • Complex project (full process digitalisation, RAG, multiple systems): From €8,000. Fixed price from day one — no surprises at the end of the project.

How an automation project works

First we understand the current process as it works today: who's involved, what systems it uses, how long it takes, and where the friction points are. This typically happens in a 30–45 minute meeting with the person who knows the process best.

With that information we design the solution: what to automate, which tools to connect, and whether AI makes sense. We present the approach before writing a single line of code, so you can validate it makes sense.

Then we build, test with real data, and train your team so they know how it works and what to do if something goes wrong. Most projects are in production within 2–4 weeks.

What we offer

What's included

Development process

1

Process analysis

We identify which manual processes take the most time and which have the greatest impact when automated.

2

Solution design

We define how the automation should work and which tools to connect or develop.

3

Development and integration

We develop the solution and integrate with your current systems (CRM, email, databases, etc.).

4

Testing and training

We test the automation in real cases and train your team to use it correctly.

Features and solutions

AI chatbots

Intelligent chatbots with Claude/OpenAI that understand natural language and maintain conversation context.

Workflow automation

We connect your tools with n8n: when X happens in one tool, Y executes in another automatically.

Process digitization

We convert manual processes (Excel, paper, emails) into custom software that centralizes information.

System integrations

We connect disconnected systems: CRM with email marketing, Slack with project management, etc.

AI data analysis

Automatic report generation, pattern detection and predictions based on your historical data.

RAG and documentation query

Systems that allow querying your internal documentation in natural language using AI (RAG with embeddings).

Custom APIs

Development of custom APIs to connect systems that don't have native integration.

Other automations

Each company has unique processes. If you need to automate something specific, we develop it.

FAQs

Frequently asked questions

It depends on complexity. A simple automation (connecting 2 tools with n8n) can be done in 1-2 weeks. Medium automations (basic chatbot, workflow with multiple integrations) take 3-4 weeks. Complex projects (complete process digitization, RAG with documentation) may need 2-3 months.

It depends on scope, but here are realistic ranges: a simple automation (basic workflow between 2 tools) can start from €500-1,000. Medium automations (chatbot, multiple integrations) are around €2,000-5,000. Complex projects (complete digitization, RAG, multiple systems) can start from €8,000.

We use the best LLM models on the market according to needs: GPT-4 and GPT-3.5 from OpenAI, Claude from Anthropic, Gemini from Google. For cases requiring total privacy, we also work with open source models running on your infrastructure.

Yes, we create custom APIs and integrations that connect AI with your existing tools: CRM, ERP, databases, email, Slack, spreadsheets, etc. AI can read data from your systems and write results to them.

It depends on the model used. With OpenAI/Claude API in enterprise mode, data is not used to train models. For sensitive cases, we can use open source models on your infrastructure where you control 100% of the data. We advise on the best option for your case.

No. We design automations for your team to use without technical knowledge. They can be visual interfaces, Slack commands, chatbots or simple forms. We also provide training so they know how they work and what to do if something fails.

Yes, in fact it's recommended. Better to start automating a small process that generates quick value, see results, and then scale to other processes. This reduces risk and validates that automation works before investing more.

To give you a quote we need to understand which process you want to automate and how much time it currently takes. If you have process documentation (even a diagram on paper), perfect. If not, we help you define it in a first 30-45 minute meeting.

Testimonials

What our clients say

Our clients' satisfaction is our best introduction.
